DocuSign to DynaFile Document Integration

DocuSign is one of the e-signature providers with a pre-built DynaFile document integration. Once you acquire your DocuSign account, please reach out to your dedicated DynaFile Customer Success contact (or you can also reach us at [email protected]).

Please note that the integration requires access to the “Connect” feature in DocuSign, typically available on their Business Pro Accounts.

Integration Set Up

Request an integration configuration meeting with your DynaFile Customer Success contact, the integration has to be configured in the Admin page of DocuSign, so if you are not the DocuSign admin, please ensure that user is included in the meeting.

The integration setup typically takes about 15 minutes, and after the integration is tested, a group training session will be provided for the users sending documents from DocuSign and/or accessing them in DynaFile. We also have a pre-recorded DocuSign template training video if you prefer a video over live training.

Creating Documents in DocuSign to Flow to DynaFile

Any DynaFile index can be included in your DocuSign integration. Typically, we pull over information like employee first name, employee last name, employee ID, Document Type, and sometimes additional data like location, supervisor, or job title.

Document Type is labeled in DocuSign as the document name with a format of Document Type_Description (Description is always optional).

  • The Document Types do need to match an already existing Document Type in your DynaFile site
    • If the Document Type does not match, the document will still flow over, but the document will be labeled as Document Type “Unknown” in DynaFile.

All other data is added via the DocuSign Custom Fields feature. When building your document in DocuSign (either standalone document or template) be sure to use the Custom Fields that link to each of the data points in DynaFile.

For example:

  • The employee’s First Name will have a Custom Field with a data label of “First Name”.
  • The employee’s Last Name will have a data label of “Last Name”.
  • An index of Company would have a corresponding Custom Field with a data label of “Company”.

If any of the Custom Fields are missed, that specific field will flow over into DynaFile as “Unknown”.

Troubleshooting

If your documents are flowing over as “Unknown,” then one of the required Custom Fields is not being used or the name of the document in DocuSign does not match the Document Type in DynaFile.

If documents are not flowing over for a particular user, please confirm that the user has been opted into the integration on the DocuSign admin page.

If a document failed the integration process and needs to be republished to your DynaFile site, please see the video below for instructions for republishing the document (this will require access to the DocuSign Admin page.
