DynaFile v4.5 – 5/9/2026
New Features/Enhancements:
- Partial Index Metadata: Document index fields can now be configured at the per-document-state level, allowing different required fields, visibility settings, and display orders depending on a document’s current state. Administrators can define which indexes are shown and required for each individual state from the Admin interface.
- Date-Only Index Field Type: A new “Date Only” index type is available, allowing index fields to store a calendar date without any time-of-day component.
- Document Intelligence Classification: Documents can now be automatically classified using AI-powered document intelligence, streamlining the routing and indexing of uploaded documents. This is an optional opt-in feature and not enabled by default. If you are interested in using this feature, contact your DynaFile Customer Success Manager to learn more.
- SSO Logout: Logging out of DynaFile can now also log out of your connected third-party identity provider (IdP), such as Ping Identity. This eliminates the need for users to sign out of both systems separately.
- Configurable Session Timeouts: Administrators can now configure the session timeout and “Remember Me” duration directly in Admin > Security Settings. Values are entered in user-friendly minutes and days rather than raw seconds, with validation to prevent extreme values.
- Per-State Index Display Order: Administrators can now define a custom default display order for index fields at the per-document-state level, overriding the global index order for specific states.
- Document State Transitions Report: A new report is available for tracking and auditing document state transition history across the system.
- Event Log Change History: The event log now tracks the previous values that were changed upon document modification.
- Document Creation Notification: Specific states can be configured to send an email to a specific email account upon the creation or upload of documents to that state.
- File Name Search and Filtering: Users can now search and filter on the document file name in any pending state.
- DocuSign In Person Signers: DocuSign envelopes with metadata associated to only In Person Signers are now able to be imported.
- Paylocity Integration: A document integration from Paylocity to DynaFile is now available.
Cosmetics:
- Numeric and integer index values now right-align in the documents grid for improved readability.
- The document metadata window has an updated layout with improved organization and spacing. Non editable index metadata is now displayed on a secondary tab within the properties window.
- Pending state index fields now display with improved formatting.
- The “Save & Register” action bar in the document editor is now a sticky footer, keeping it visible while scrolling. The page number indicator has also been repositioned for improved usability.
- The Document Summary Report now displays file sizes rounded to two decimal places for a cleaner presentation.
- The Add Documents button is now disabled if the user has no upload rights.
Performance and Back-End Improvements:
- Significant improvements were made to document search query and autocomplete performance, especially for large document sets.
- Migrated reCAPTCHA to Google’s updated project configuration.
Bug Fixes:
- Fixed: Sorting by optional date fields excludes records with blank date values.
- Fixed: Optional document date fields could not be deleted once set.
- Fixed: Clearing a search could cause the previous search parameters to reappear.
- Fixed: Transitioning a document from the Deleted state back to Registered was not working properly.
- Fixed: Document dates and times were including the browser’s local timezone offset in values sent to the server.
- Fixed: The Export Search Results button appeared greyed out when it should have been enabled.
- Fixed: The gallery view in the document editor was showing the original uploaded file name instead of the configured display name.
- Fixed: Empty (zero-byte) files could be uploaded to the system.
- Fixed: Inactive users were causing an error on the User Group Assignment page.
- Fixed: Opening a public document link while already authenticated was incorrectly performing a security check against the logged-in user.
- Fixed: Document upload pre-validation was checking for View access instead of Upload access, blocking service/integration accounts with upload-only permissions.
- Fixed: Duplicate structured index values differing only by letter case (e.g., “Department” vs. “department”) could be created.
- Fixed: Duplicate group names differing only by letter case could be created in the Admin interface.
- Fixed: Auto-barcoding was not applying configured default values for required document index fields.
- Fixed: SSRS report calls using “date” parameters were missing records due to time-of-day mismatches introduced by the DateTimeOffset migration.
- Fixed: The “Select All” checkbox in Document State Access was not toggling all items correctly.
- Fixed: When replacing a document with a new version, the original document’s creation date was not being preserved.
- Fixed: The share document modal had duplicate scroll bars on certain screen sizes.
- Fixed: The Integration Platform was not handling blank or null date index values received from external systems, causing processing errors.
- Fixed: Autocomplete suggestions were including index values from previous (non-current) versions of documents; suggestions now reflect only the latest version’s metadata.
- Fixed: Selecting a text index value from the Index Browser was not performing an exact-match search, returning broader-than-expected results.
- Fixed: Numerous other minor security and functionality fixes have been implemented.
DynaFile v4.4 – 4/6/2025
New Features/Enhancements:
- If a PDF file is password protected, it will display a message stating as such, without showing thumbnails that just “spin”.
- Support for SSO login with an OpenID Connect providers using “auth code grant” instead of “implicit grant” is now supported.
- The thumbnail panel now has an expansion animation, making it easier to see which document was selected.
- Users can now use the Tab key to select the first autocompleted values from dropdown selections. Previously, users had to use the Enter key to complete the selection.
- The results from the Document Summary Report can now be exported to CSV.
- Merging documents with the same PDF form fields no longer causes a collision and as long as the form values match, they will be combined without issue.
- Splitting of digitally signed PDF files is now fully supported. Users will receive a notification if they attempt to split a digitally signed PDF and have the option to continue (and remove the digital signature) or to cancel.
Cosmetic Enhancements:
- All clear chips (X) when selecting search values now always appear on the left side of the selection. Previously, they would be truncated or jump around depending on the screen size.
- The display name format of documents in the gallery view no longer reset to the uploaded file name when splitting a document or moving pages.
Bug Fixes:
- Entering dates in the date search boxes via keyboard only are more streamlined and searches won’t automatically be performed on a partial date entry.
- 48-bit and 64-bit PNG’s are now supported to thumbnail
- Inactive users can now be deleted without first reactivating the user.
- Numerous other security and minor functionality fixes have been implemented.
DynaFile v4.3 – 11/20/2024
New Features/Enhancements:
- Users can now Export the Search Results of any document search query. The user will simply need to click the icon in the top right corner of the page (next to Grid Settings) and they will be emailed a CSV listing of all documents (not just ones visible on the current page) that match the search criteria. This feature can be used for ad-hoc reporting purposes (by opening the CSV file in Excel) or to provide as a reference file for the DynaFile Archive Utility.
- Users can now merge multiple documents into a single PDF file while keeping the merged document (and optionally the source documents) registered in the system. Users simply need to select the appropriate documents (in the order in which they want them merged) and then choose the “Merge” option from the blue top bar. The user will be presented with a dialog confirming the order in which they want the documents merged and whether they want to purge the original documents. Users must have “Modify” permissions to the all the associated documents in order to request the merge.
- Users can now copy one or multiple documents. Users simply select the appropriate documents and then choose the “Copy” option from the blue top bar. The user will be presented with a dialog prompting them which index(es) should be updated for the copied documents. Users must have “Modify” permissions to the all the associated documents in order to request the copy.
- Users now have the capability to split digitally signed documents, with a notification to the user that performing such an action will invalidate the digital signature.
- If users can only upload to a single state, that state will now be automatically selected in the “+ Add Documents” screen.
- Users have the capability to change from an “auto search” to a “manual search” whereby they can provide the search criteria without the search listing automatically refreshing as new search criteria is provided. Once all the search criteria is specified, a [Search] button will appear below the search bar, allowing them to perform the search. This feature will be beneficial with the Export Search Results feature to quickly build reports. The option to switch between these search modes is via a toggle button in the Grid Settings section.
- For the integration platform, more robust rules can be implemented to determine which documents should be discarded and not imported into DynaFile. These rules include partial matches on Document Types and Descriptions or even individual tag values.
- When splitting a document into multiple documents, the speed of the “finalization” phase (once the Save button is pressed) is greatly improved.
- Previously selected options under the Share Document screen are persisted so that the user does not have to continuously re-select the same options as they opt to share additional documents.
- When using Edit & Split, the previously selected index field remains selected after splitting a document, facilitating a more streamlined user experience and allowing for expedited entry of index information.
- A new user right was created named “Index Administration” that allows a user (or a service account) to create an update structured index values without needing the “Site Administration” right which controls site security.
- An integration with AdobeSign has been implemented allowing for completed/signed documents to automatically be registered within DynaFile with associated index information pulled from the documents sent.
- A new report is available under Admin Reports named “Document Summary Report” that allows administrators to create a summary of documents based on one or multiple indexes. An example of such a report could be the document count per Status and Department.
- SSO Integration with PingIdentity has been implemented.
- “Immediately Purge” added as a default option for all pending states, site administrators can disable access via the State Administration page.
Cosmetic Enhancements:
- Columns selected to be hidden in the Index Display Settings are now more identifiable as being hidden.
- In Edit & Split screens, the PgUp/PgDown keys now keep the selected page in focus.
- Users are cautioned to not share 2FA codes that are emailed to them.
- The Document Info screen now displays additional document information such as Page Count, Average Page Size and if the document is digitally signed. This is beneficial to determine if files are scanned in color (identified by an average size per page of >0.5 MB).
Performance and Back-End Improvements:
- Massive changes were made to the back-end database resulting in performance improvements, ranging anywhere from 2X to 20X speed improvements in search and retrieval of documents and autocomplete suggestions.
- Database changes were implemented that will allow for creating additional types of accounts, beyond just user accounts, such as service accounts that don’t require values such as first and last name. The UI to create and manage these new account types is expected to be visible in a future release. No UI or functionality changes are apparent in v4.3.
Bug Fixes:
- Users are now prompted to re-enter their password when requesting to have their current password updated from the Preferences screen.
- Issues where mass downloading an extensive amount of documents has been fixed.
- Direct registration of documents that already contained metadata now retains any previously provided metadata.
- Numerous other security and minor functionality fixes have been implemented.
DynaFile v4.2 – 12/12/2023
New Features/Enhancements:
- Users that have “Upload” rights to the Registered state can drag-and-drop to the document grid, and any UNIQUE values displayed in the grid will pre-populate for the registration screen. This allows a user to drag-and-drop a new document “on to” the grid displaying all the documents for “Active” “Warehouse” “Washington, George” and then only have to provide a Document Type and Description. This works for any combination of indexes (e.g. if a user is searching for I-9’s and they drag a file on to the grid, it will pre-fill I-9 but then they provide the Status, Department and Employee). Remember that it’s for UNIQUE values, so if the grid displays records for both “John Doe” and “Mary Jane” it won’t pre-populate the Employee Name.
- When registering documents, options exist to allow certain indexes to be hidden when a default value for that index is available. This will prevent users from having to see or edit indexes that will automatically be updated via the synchronization process.
- Barcode pages are now generated as 2D/Matrix barcodes that contain a stored reference to all indexes provided as opposed to embedding the index values in the barcode itself. This new format will:
- Allow character sets (e.g. international symbols) that were not available with the older CODE-128 barcodes.
- Accommodate changes to document indexes (e.g. adding an index) after the barcode was generated.
- Be easier to recognize and handle scanning discrepancies. Previously generated CODE-128 (1D horizontal) barcodes will still be supported for legacy purposes.
- A new version of Save To DynaFile Headless Service is available (and is required for v4.2) that utilizes token authentication instead of basic authentication. This version also supports uploading scanned images to any state the configured account has upload permissions to, not just the legacy Batch and Barcode destinations. This will require the IT department to install this update and input tokens and secrets provided by DynaFile support for each account configured in the service.
- The folder “Browser” can now be “pinned” so that it stays open, and instead of floating above the document grid, it will display next to it while “pinned”.
- A “Share Current Search” option is available at the top of document search screen to allow a user to copy a link to the exact search they are viewing. This allows the user to either save that search criteria or email that link to someone else.
- When documents are registered via a “direct” transition, the registration window now has a preview tab to view enlarged versions of the document pages.
- If a user does not have access to the default SIV value, but they still have access to only one single value, that value will be selected as the default value.
- A new “User Event Log” is available under User Reports that provides a history of what the logged in user has performed.
- When sharing (emailing) a document as an attachment or link:
- Specific pages of a document can now be selected to send out as an attachment.
- The option to “Convert to PDF” when for attachments as well as links.
- If sending a document link, the user that generated the link is now notified when that link is first accessed.
- The screen has been optimized to better display email recipient names (to include a DynaFile, Microsoft or Google icon to identify which account the recipient names were found in), and to remove excess whitespace and to hide the Bcc field by default.
- Non-SIV indexes can now have a custom “regular expression” validator applied to ensure that the data entered into the index matches a predefined pattern. Examples include dates, phone numbers, SSN, name formats, length of input, all numeric values, etc.
- Added support for previewing HEIF file formats (used by some iPhones when taking photos).
- The v4 Public API has been refactored and the naming normalized.
- The v4 Public API methods now require HMAC signing.
Cometic Enhancements:
- If a column is right aligned (e.g. a date field), the column header is now right aligned.
- The user preferences screen has an option for the user to select their Results Page Size (either 50, 200, or 1000).
- When emailing a document (attachment or link), the details that are included in the email body now properly represent the indexes defined for the client.
- The “Sort By” configuration under user preferences has been removed as sorting is now dynamic and remembered per state.
- The sent date of any email stored in the system is now displayed as part of the email headers in “thumbnail” view.
- The “Send From” email address under User Preferences has been removed as it is no longer needed.
Bug Fixes:
- Document grids now sort off the SIV Name (not the hidden SIV ID value).
- The Folder Browser now uses the proper index hierarchy and security permissions.
- Downloading a document without metadata (unregistered documents) uses the originally uploaded file name.
- Document State is now displayed in the Document (Specific) Access screen.
- The uniqueness of (non-deleted) document state names is enforced.
- The signature from the User Preferences is now properly applied to the email body.
- Adjusted the behavior of clicking a thumbnail in the Edit & Split view to no longer scroll to the bottom of the active thumbnail.
- The document Creation Date is only updated when replacing a document, not when splitting, rotating, reorganizing or deleting pages.
